Add team members and assign roles
The fastest way to lose control of an ad account is sloppy access. Business Portfolio uses a two-layer model: a top-level role on the Portfolio (Admin, Employee, Finance Editor, Finance Analyst, or Developer), then task-based permissions on each individual asset. Grant the minimum that gets the job done, because every extra permission is a future cleanup or a breach waiting to happen.
Portfolio roles
Admin: full control over settings, people, accounts, and billing. Reserve for the small group that needs to manage other admins and payment methods.
Employee: can only access assets specifically assigned to them. This is the recommended default for everyone else.
Finance Editor: edit payment methods and view spend and invoices. Finance Analyst: view-only on financial data.
Developer: Pixel and Conversions API setup, app management, system users, access tokens.
Per-asset permissions
Two tiers per asset: Full Control (every task on) or Partial Access (only the tasks you tick). Partial Access is the recommended default for both employees and outside contractors.
For an ad account: Manage campaigns, View performance, Manage creative hub mockups. For a Page: Manage Page, Create content, Moderate comments, Create ads, Insights, Messages.
Adding people
Add by email. Use a business or work email, never a personal Gmail or Yahoo. That email becomes the recovery channel and audit identifier; a personal email left behind by a departing employee is the most common cause of locked-out accounts.
For agencies and other companies, use Add Partner (Business-to-Business link by Partner Business ID) instead of adding individual freelancers. The partner manages their own people on their side.
System Users
System Users are headless user accounts managed by Developers. Use them for API integrations and long-lived access tokens so they do not break when a human leaves the company.
