Deposits, reminders, and pay links
Every unpaid deposit carries its own personal pay link, one automatic reminder, and a clean expiry that releases the seat without deleting anything. Here is the full lifecycle, and the three conditions that turn deposit checkout on.
The personal pay link
Each unpaid deposit gets its own bearer pay link at adlens.pro/enroll/pay/<token>. Anyone holding the link can pay that specific deposit, no login required, which is exactly what a student forwarding it to a parent or an employer needs.
The link lives on adlens.pro, not on your domain, and that is deliberate: payment links keep working even while your custom domain is being set up, moved, or changed, so a mid-migration weekend never strands a student who is trying to pay you.
In broadcasts, the {deposit_link} button tag inserts each recipient's personal link automatically. That is the right way to send it at scale.
Reminders and expiry
You do not have to chase deposits by hand. Each unpaid deposit sends one reminder email 3 days before its due date. If it is still unpaid 7 days past due, it expires: the seat is released so you can offer it to someone else, and nothing is deleted, the signup and the application stay in your Leads inbox.
That gives every deposit a predictable arc: offered on the confirmation screen, reminded once, then released. A student whose deposit expired can always come back through the funnel.
The four deposit states
A deposit is always in one of four states: unpaid, paid, waived, or refunded. Unpaid is the default from signup. Paid means the money came in, and a paid deposit is an ordinary order, it shows up in your orders and finance views like any other sale. Waived means you let the student in without paying. Refunded means the money went back.
Waiving and refunding happen in the dashboard. The assistant can read deposit states for you but never moves the money itself.
What turns deposit checkout on
Deposit checkout self-activates only when three things are all true: you toggled the deposit on in the course's event editor, at least one payable option exists, and payments are enabled on your account. Miss any one and students see the free signup but no deposit step.
This is a checklist, not a bug. Set the deposit up in /app/events/:id/edit, make sure there is something payable, and confirm your payments are live.
When it does not work
Students are signing up but never see a deposit: walk the three conditions. Is the deposit toggled on for this course? Is there a payable option? Are payments enabled on your account? All three must hold, the deposit step stays hidden until they do.
A student says their pay link stopped working: check the deposit's status. A deposit that went 7 days past due has expired and its seat was released. The student's signup still exists in Leads, so re-enroll them through the funnel if the seat is still open.
A student is worried the pay link is not on your website: reassure them, the adlens.pro address is the platform's secure payment surface and every course on adlens uses it. It is intentional, not a phishing sign.
A paid deposit is not where you expected in reporting: look in orders. A settled deposit is a normal order and appears in your sales views, not in a separate deposits ledger.
